We provide booking pages, merchant workspaces, staff calendars, client records, messaging and billing tools. Merchants use these tools to manage their own customer relationships. A merchant's own privacy notice may also apply to information it collects.
2. Information we collect
Depending on how you use BeautiDesk, we may process account details, business details, staff profiles, service menus, appointment records, customer names, phone numbers, emails, booking notes, SMS delivery status, billing status and support messages.
We collect information you enter, information an authorised merchant or staff member enters, and information returned by authentication, messaging and payment services. Service logs may include IP addresses, browser and device information, timestamps, request paths and errors. Our apps and website may store preferences, sign-in information and cached workspace data on your device.
Booking notes may contain sensitive information if you or a merchant choose to include it. Provide only what is necessary for the service and ensure any required consent has been obtained. We do not sell personal information.
3. How we use information
To create, manage and confirm salon appointments.
To show schedules, staff availability, customer history and service details to authorised salon users.
To send booking confirmations, reminders and customer service messages when enabled by a salon.
To manage merchant subscriptions, invoices and billing status.
To secure accounts, investigate abuse and provide support.
To improve site performance, product reliability and user experience.
4. Service providers
BeautiDesk uses trusted service providers to operate the product. These may include hosting and edge infrastructure, database and authentication providers, payment processors, SMS providers, analytics tools and error monitoring tools.
Web payment details are handled by Stripe; app-store purchases are handled by the relevant app store. BeautiDesk receives information needed to confirm payments and subscription access, and does not store full payment card numbers on its servers.
Authorised merchant users can access the customer and appointment records assigned to their workspace. We may disclose information to providers to perform their services, when you direct us to, or where required or permitted by law. Providers may process information outside Australia, including in the United States. Contact us for information about providers relevant to your account.
5. Website analytics and cookies
Optional analytics is disabled until you choose to enable it. Visit analytics uses Google Analytics to measure public page visits and trial-entry clicks. Experience analytics uses Microsoft Clarity for heatmaps and interaction recordings on public information pages. These are separate choices, and advertising storage and personalisation signals are disabled.
We do not load these tools on merchant, sign-in, appointment booking or booking-management pages. Necessary authentication, security and error reporting continue independently of optional analytics. Diagnostic session replay is disabled.
Read the Cookie Policy for storage details and provider links. Use to accept, reject or withdraw optional permissions. Declining optional analytics does not prevent booking or sign-in.
6. Apple Wallet and memberships
Where enabled, merchants may maintain membership profiles, points and loyalty information for their customers. Features labelled as previews, including Apple Wallet card previews, do not mean live card issuing is available. Information entered into an enabled membership feature is handled for that merchant's customer relationship.
7. Data ownership for salons
Merchants retain their rights in customer information they lawfully collect. BeautiDesk processes it to provide and support their workspace. Contact support about obtaining a copy of account or customer data; available exports depend on the functionality currently enabled. We do not turn salon customer lists into a shared marketplace.
8. Security and retention
We use access controls, authentication, encrypted secrets and platform security controls to protect data. We retain information for as long as needed to provide BeautiDesk, comply with legal obligations, resolve disputes and maintain product security.
Retention depends on the information and its purpose, including active account needs, financial record requirements and backup recovery. When information is no longer needed for a permitted purpose, we take reasonable steps to delete or de-identify it. Deletion may not immediately remove information from protected backups or records we must retain.
9. Your choices
You may ask for a copy, correction or deletion of personal information, subject to account ownership, legal retention requirements and the rights of the salon that collected the booking data.
Salon customers should usually contact the salon first for appointment changes, cancellations or customer record requests. BeautiDesk can help route support requests when needed.
We may need to verify your identity and authority before responding. Explain the information or account involved and the outcome you want; do not email full payment-card details or identity documents unless we arrange an appropriate process. You can decline optional information, though we may then be unable to provide the feature that needs it.
We update this policy as the service changes and show the revision date above. Where a material change requires notice or consent, we will provide it before applying that change.
